Freight Insurance Data (“FID”, “we”, “us”) is a prospecting and research tool for commercial-trucking insurance agencies. This policy explains what information we collect when you use it, why we collect it, who we share it with, and the choices you have. It is written to be read, not skimmed past — if anything here is unclear, email support@freightinsdata.com and a person will answer.
1. Who this policy covers
This policy covers people who visit our website, create an account, or use the FID application. It applies to our website, the application at this domain, and email we send you.
It does not cover the motor-carrier records the application displays. Those records come from public United States federal filings (see section 4) and describe businesses, not our users.
2. Information we collect
Information you give us. When you create an account we ask for your name, work email address, a password, and the name of your agency. If you sign up with Google, Google provides your name, email address and profile picture instead of a password. If you subscribe to a paid plan, our payment processor collects your billing details (see section 5) — we never see or store your full card number.
Information about how you use FID. We record the searches you run, the filters you apply, the states you select for your plan, the lists you export, and how many rows you have exported against your plan allowance. We keep this to run the service (your saved filters, your export limits) and to understand which features are used.
Information collected automatically. Like most web services we receive your IP address, browser type, device type, and the pages you visit. We use a small number of cookies to keep you signed in and to remember preferences such as a dismissed onboarding card. We do not use advertising cookies or third-party tracking pixels.
Messages you send us. If you report an issue or contact support, we keep the message and our reply.
3. How we use it
- To provide the service: sign you in, run your searches, produce your exports, and enforce your plan's limits.
- To bill you, and to tell you before a charge, a renewal, or a failed payment.
- To respond when you contact us.
- To improve FID, by looking at which features and filters agencies actually use.
- To keep the service secure and prevent misuse, including reselling of the data (which our Terms prohibit).
- To send optional product emails you can switch off in Settings. Billing notices cannot be switched off, because they tell you before anything changes.
We do not sell your personal information, and we do not use it to build advertising profiles.
4. About the carrier data in FID
The records you search in FID — carrier names, USDOT numbers, addresses, phone numbers, email addresses, authority, insurance filings and safety information — are drawn from public data published by the Federal Motor Carrier Safety Administration (FMCSA) and related federal sources. We collect, normalize and refresh this public data so it is usable. We do not generate it, and we cannot correct the underlying federal record; if you are a carrier who believes a record is wrong, the correction has to be made with FMCSA.
5. Who we share information with
We share personal information only with the providers needed to run FID, and only for that purpose:
- Supabase — hosts our database and handles authentication (accounts, passwords, sessions).
- Google — if you choose “Sign up with Google”, Google authenticates you and shares your basic profile with us under Google’s own privacy policy.
- Stripe — processes payments and stores billing details. Card numbers go to Stripe directly and never touch our servers.
- Vercel — hosts the website and application.
- Email delivery — the provider that sends our transactional email (receipts, password resets, export notifications).
We may also disclose information if the law requires it, or to protect the rights and safety of our users or the public. If FID is ever acquired, your information would transfer to the new owner under this same policy, and we would tell you first.
6. Team accounts
FID accounts belong to agencies, and colleagues at the same email domain can join the same account. The account owner can see who is on the account and remove people. Colleagues on your account can see the searches and exports run under it. If you leave an agency, the owner can remove your login and it stops working immediately.
7. How long we keep information
We keep your account information for as long as your account exists. If you close your account, or ask us to, we delete your personal information within 30 days, except what we must keep for tax, accounting or legal reasons (for example, invoices). Usage records tied to your account are deleted with it.
8. Security
Data travels over encrypted connections. Passwords are stored hashed, never in plain text. Access to production systems is limited to the people who run the service. No system is perfectly secure; if we learn of a breach affecting your information we will tell you promptly and honestly.
9. Your choices and rights
- You can see and update your name, agency and email in Settings.
- You can switch optional emails off in Settings.
- You can ask us for a copy of the personal information we hold about you, or ask us to delete it, by emailing support@freightinsdata.com. We will respond within 30 days.
- If you are in a jurisdiction with specific privacy rights (for example California or the European Union), those rights apply to you and you can exercise them through the same email address.
10. Children
FID is a business tool for insurance professionals and is not intended for anyone under 18. We do not knowingly collect information from children.
11. Changes to this policy
If we change this policy in a way that matters, we will email account holders before the change takes effect and update the date at the top. Continuing to use FID after that date means you accept the updated policy.
